Emails Going to Spam

Created by RivioApps Support, Modified on Fri, 21 Aug at 3:12 PM by RivioApps Support

Rivio B2B Registration Forms sends Admin Notification Emails and Customer Confirmation Emails for form submissions and application updates. Sometimes these emails may be delivered to the recipient's Spam or Junk folder instead of the main inbox.

This can happen because of email provider filters, sender reputation, email settings, or the recipient's security rules.

Follow the steps below to help prevent emails from going to spam.

Check the Spam or Junk Folder

First, check whether the missing email is being delivered to the spam or junk folder.

Ask the recipient to check:

  • Spam folder
  • Junk folder
  • Promotions folder
  • Other filtered or archived folders

If the email is found, mark it as Not Spam.

This helps the email provider recognize that the messages are wanted.

Add the Sender to Trusted Contacts

Ask the recipient to add the email sender to their contacts or safe-sender list.

Adding the sender as a trusted contact can help future emails reach the inbox instead of being automatically filtered as spam.

Check Email Notification Settings

Make sure the required email notifications are enabled in Rivio B2B Registration Forms.

For example, check:

  • Admin Notification Emails
  • Customer Confirmation Emails

To review the settings:

  1. Open Rivio B2B Registration Forms from your Shopify Admin.
  2. Go to Forms.
  3. Open the relevant form.
  4. Review the email notification settings.
  5. Make sure the required notifications are enabled.
  6. Save any changes.

Verify the Recipient Email Address

Make sure the recipient's email address is correct.

Check for:

  • Spelling mistakes
  • Missing characters
  • Unnecessary spaces
  • Incorrect email domains

An incorrect email address can cause delivery problems or prevent the message from reaching the intended recipient.

Check Email Content

Email providers may use the content of an email when deciding whether to place it in the inbox or spam folder.

Keep notification emails clear and relevant. Avoid excessive promotional language, unnecessary links, or content that may look like unsolicited marketing.

Review the email subject and message configured in your notification settings.

Check Business Email Security Settings

If customers or admins use a business email address, their organization's email security system may automatically filter the message.

Ask the email administrator to check:

  • Spam filters
  • Email security rules
  • Quarantine folders
  • Blocked senders
  • Safe-sender lists

If the message is being quarantined, the email administrator may need to allow the sender.

Test With Different Email Providers

Submit a test application using different email addresses.

For example, test with:

  • A personal email address
  • A business email address
  • Another email provider

If emails consistently reach one provider's inbox but go to spam with another provider, the issue may be related to the recipient's email filtering settings.

Send a Test Submission

After making changes, submit a new test application.

  1. Open your storefront.
  2. Submit the form using a valid email address.
  3. Check whether the notification is received.
  4. Check both the inbox and spam folder.
  5. Confirm that the email is delivered correctly.

This helps verify whether your changes have improved email delivery.

Contact Support

If emails continue to go to spam after checking the above settings, contact the Rivio B2B Registration Forms support team.

Provide:

  • Your Shopify store URL
  • The affected form name
  • The recipient email address
  • The type of email affected
  • A screenshot of the email notification settings
  • The date and time of a test submission
  • Information about which email provider is being used
  • Any delivery or error message available

This information can help the support team investigate the email delivery issue.

Summary

If emails are going to spam, first check the recipient's spam folder and mark the message as Not Spam. Then add the sender to trusted contacts, verify your notification settings and recipient email address, and review the recipient's email security settings.

If the issue continues, test with different email providers and contact support with the relevant details.
