Rivio B2B Registration Forms allows you to automatically approve applications that meet specific conditions. With Auto-approve rules, you can reduce manual review for trusted applicants while keeping other submissions in your inbox for review.
These rules are optional. If you leave the fields empty, every submission will continue to require manual review.
How Auto-approve Rules Work
When an applicant's information matches one of your configured rules, the submission is automatically approved.
The app uses the same customer and company creation process as a manual approval. This means you can automate approvals without changing the normal approval workflow.
For example, you may automatically approve applicants whose email addresses belong to your company's trusted partner domain.
Auto-approve Email Domains
The Auto-approve email domains field lets you automatically approve applicants based on their email domain.
Enter one or more domains separated by commas.
For example:
acme.com, partner.org
If an applicant submits a registration form using an email address such as john@acme.com, the application can be automatically approved because the email domain matches the configured rule.
When to Use Email Domain Rules
Email domain rules can be useful when:
- You work with trusted business partners.
- Employees from specific organizations should be approved automatically.
- You have a list of known business domains.
- You want to reduce manual approval for trusted applicants.
Make sure you only add domains that you trust, because matching applicants will be approved automatically.
Auto-approve Countries
The Auto-approve countries field lets you automatically approve applications based on the country information submitted in the form.
Enter ISO country codes separated by commas.
For example:
US, GB, CA
Applicants whose submitted address or company information matches one of these country codes can be automatically approved.
When to Use Country Rules
Country-based rules can be useful when:
- You only accept B2B applications from specific countries.
- Your business operates in selected regions.
- You want to automatically approve applicants from supported markets.
- You want to reduce manual review for applications from specific countries.

Suppose your business works with trusted partners in the United States and Canada.
Auto-approve email domains:

When a new application matches the configured rule, it can be approved automatically.
What Happens When a Rule Matches?
When an application matches an auto-approve rule:
- The applicant submits the registration form.
- Rivio B2B Registration Forms checks the configured auto-approve rules.
- If the submission matches a rule, it is automatically approved.
- The same customer/company approval flow used for manual approval is applied.
- The approved applicant can be handled according to your configured B2B workflow.
Applications that do not match an auto-approve rule remain available for manual review.
Keep Rules Empty for Manual Approval
If you don't want to automatically approve any applications, simply leave the auto-approve fields empty.
In this case, every submission will remain in the inbox until an administrator reviews and approves or rejects it.

When setting up auto-approve rules:
- Only add email domains that you trust.
- Use valid ISO country codes.
- Review your rules regularly.
- Avoid adding broad or untrusted domains.
