With Rivio B2B Registration Forms, you can review a wholesale application and approve it directly from the submission details page. Before approving an application, you can add an internal note for your team and review all submitted information.
In this example, a retailer has submitted a Wholesale Application Form and provided their business details, contact information, and supporting documents.
Step 1: Open the Application
- Open Rivio B2B Registration Forms in your Shopify Admin.
- Go to Submissions.
- Open the wholesale application you want to review.
- Review the applicant's business and contact information.
For example, you may verify:
- Business name
- Tax ID / VAT
- Business website
- Phone number
- Business address
- Primary contact
- Uploaded documents
- Purchase volume
- Other information requested in your form
Step 2: Add an Internal Note
Before approving the application, you can add a note in the Internal note (optional) field.
For example:
Business details verified. Resale certificate reviewed and application meets our wholesale requirements.
The internal note is useful for keeping a record of your review or sharing information with your team.
Note: Internal notes are for your internal reference and are not intended as a message to the applicant.
Step 3: Approve the Application
Once you've reviewed the application and confirmed that everything is correct:
- Add an internal note if needed.
- Click Approve.
- The application will be marked as Approved.
Depending on your app configuration, approving an application can also trigger your configured customer or B2B account actions.
What If the Application Doesn't Qualify?
If the application doesn't meet your requirements, you can use the Reason (sent to applicant) field before rejecting it.
For example:
Thank you for your application. We are unable to approve your wholesale account at this time because the required business documentation was not provided.
Then click Reject.
The rejection reason is intended to be shared with the applicant, so make sure it clearly explains the decision.
What If the Submission Is Spam?
If the submission is clearly unwanted or irrelevant, use Mark as spam instead of approving or rejecting it.
For example, if a submission contains promotional content, fake information, or an unrelated message, you can mark it as spam to keep your applications organized.
Simple Approval Workflow
For a genuine wholesale application, the recommended process is:
- Review the applicant's information.
- Add an Internal note if you need to record your review.
- If everything looks good, click Approve.
- If the applicant doesn't qualify, provide a Reason and reject the application.
- If the submission is unwanted, select Mark as spam.
Tip: Use Internal Note for your team's private comments, Reason when communicating a rejection to the applicant, and Mark as spam only for unwanted submissions.
